VISA TO RUSSIA

Dear Colleagues,

We have prepared a step-by-step guide to help you obtain a Russian Visa. Our aim is to make the process as easy as possible. Please read carefully and follow the instructions provided.

A. Please ensure that your passport is valid for at least six months beyond the expiry date of the Russian visa

B. Verify whether you require a visa to enter Russia:
According to international agreements, nationals of the following countries do not require Russian entry visas for short-term visits: Abkhazia, Andorra, Antigua and Barbuda, Argentina, Armenia, Azerbaijan, Belarus, Belize, Bolivia, Bosnia and Herzegovina, Botswana, Brazil, Brunei Darussalam, Cabo Verde, Chile, China (residents of Hong Kong and Macao), Colombia, Costa Rica, Cuba, Dominica, Dominican Republic, Ecuador, El Salvador, Fiji, Grenada, Guatemala, Guyana, Honduras, Israel, Jamaica, Kazakhstan, Kyrgyzstan, Laos, Maldives, Mauritius, Moldova, Mongolia, Montenegro, Namibia, Nauru, Nicaragua, North Macedonia (an official letter of invitation is required), Palau, Panama, Paraguay, Peru, Qatar, Republic of Korea, Saint Kitts and Nevis, Saint Vincent and the Grenadines, Samoa, Serbia, Seychelles, South Africa, South Ossetia, Suriname, Tajikistan, Thailand, The United Arab Emirates, Turkey, Ukraine, Uruguay, Uzbekistan, Vanuatu, Venezuela. C. If your country is not listed above, you will need to obtain a Russian visa

    I. The first step is to obtain a Visa Support Application Certificate. To do this, we require the following information from you (please provide the information in the order listed below):
      1. A copy of your passport page with photo and personal details
      2. The page with your registration, residence, and work permits (if applicable), in case you reside in a country other than your nationality
      3. Place of permanent residence (country and city)
      4. Place of work
      5. Position held
      6. Full work address (not a P.O. Box), fax, and telephone numbers
      7. The location where you will apply for the visa (country and city where a Russian Embassy and/or Consulate is located).
      8. Duration of your stay (days) in Russia. Please note that if you stay in Russia for more than 7 days, you must be registered with the Russian Migration Service. Hotels often provide this registration service, so please inquire during the booking process.

    Most hotels can typically assist you with the registration process. We recommend inquiring about this service during the booking process. If the hotel does not offer registration services, the Organizing Committee will be able to assist you with the registration process. Please send all this information by email (visa-confer2024@mail.ru) to Mrs. Elena Gurevich no later than February 16, 2024.

    II. Once you have received the Visa Support Application Certificate (no earlier than three months before your intended entry, as per Russian legislation), you should submit it along with your application at a Russian Consulate or Embassy in the city specified in your application form. Please note that your visa support application certificate will be issued for the period from May 18 until June 1, 2024.

    Please be aware that the Visa Support Application Certificate is NOT a visa itself.

D. Invitation for accompanying persons
According to national immigration regulations, only official spouses and children can be considered as accompanying persons. To obtain an official invitation for an accompanying person from the Organizing Committee, you must submit an apostilled marriage certificate (for spouses) or birth certificate (for children). Once you receive the official invitation, you can apply for a humanitarian visa for the accompanying person. Please note that accompanying persons are not exempt from registration fees1.

Alternatively, you can apply for a tourist visa for the accompanying person at a Russian Consulate (often cheaper and faster). In this case, you will not require an invitation from us or apostilled documents. All information regarding the process of obtaining a tourist visa can be found on the website of the Russian Consulate in your country.

1Please note that according to Russian visa regulations, the host organization is required to pay fees to the Russian Ministry of Foreign Affairs for each international participant and an even larger amount for accompanying persons. However, all foreigners wishing to enter the Russian Federation must not only apply for visas at the Russian Consulates or Embassies in their respective countries but also personally bear the cost of the visa issuance.
